Program Policies

Registration, Waivers & Emergency Contacts
 

  Your child’s safety is our top priority. Before any student can participate in our programs:

  • Waiver Requirement: A signed participation and liability waiver including an allergy and medical disclosure form must be completed by a parent or legal guardian during registration.

  • Emergency Contacts: A parent or legal guardian must provide up-to-date emergency contact information and list all individuals authorized to pick up their child.

Allergy & Medical Policy
 

Your child's health and safety are our top priority. As part of registration, parents are required to complete an allergy and medical disclosure form for their child.
 

Please note that allergens can be present in many craft materials, such as latex, baking supplies, trace food residue from recyclable materials, dust, fragrances, etc. We do not serve food or snacks during class, but we ask all families to complete this form very carefully.

In some cases, a child may have a severe allergy to materials that are central to our program and cannot reasonably be avoided across a full 11-week session. If accommodating that allergy would significantly alter the experience for the rest of the class, we may determine that we are unable to safely accommodate that child.
 

If your child requires an EpiPen or other emergency medication, please bring it to every class. As we are unable to store medication securely between sessions, medication cannot be left with us for the duration of the program.


Payment & Attendance Policy
 

To keep our class sizes small and ensure every child gets the dedicated attention they deserve, registration is confirmed with payment at the time of booking - either in full, or as a partial payment if you've selected our payment plan. Because spaces are limited and we hold a spot just for your child, we are unable to offer refunds for missed classes or early withdrawal from a session.
 

We know schedules can be unpredictable! If your child misses a class, they're welcome to one make-up class per session, to be used the same week, same time, on an alternate scheduled day. Please let us know in advance if a make-up class is needed, as the new class may take place before their regularly scheduled class that week.
 

If your child needs to discontinue their session early, you may transfer the remaining classes to another child, such as a sibling or friend. This transfer option may only be used once per session.
 

Emergency Cancellations & Unforeseen Events
 

While we always hope to run our classes exactly as scheduled, unexpected situations like severe weather, facility issues, or power outages can occasionally happen. If we are forced to cancel a class due to a building closure or an unforeseen event, our priority is to make it right for you.

 

In the rare event of a cancellation, we will provide one of the following:

  • A Scheduled Makeup Class: We will arrange a designated makeup class so the students don't miss out on their crafting experience.

  • A Class Refund: If a makeup session cannot be reasonably scheduled, a $30 refund for the cancelled class will be issued to your original method of payment.

How We Notify You: In the event of a sudden closure, we will notify parents as quickly as possible via email and/or text message using the contact information provided at registration. Please check your inbox before heading out if severe weather is forecasted.
 

Secure Sign-In & Sign-Out Policy
 

Authorized Adults Only: Students must be signed in and out of every class by a parent, guardian, or an authorized adult listed on the registration form.

Pickup Verification: At drop-off, parents will receive a unique tag matching the one worn by their child. This tag must be presented at pickup to confirm your child is leaving with the correct person. Staff may also request photo ID if needed to verify identity.
 

Please notify us in writing if someone not listed on your registration form will be picking up your child on a specific day.

Late Pickup Policy 

We understand that traffic and unexpected delays can happen, which is why we offer a short grace period for occasional lateness. To help us prepare smoothly for the next group of children, we kindly ask that pickups happen on time each week; your punctuality helps everything run a little more seamlessly for everyone.

  • Late Fees: Pickups occurring after the 10-minute grace period will incur a late fee of $1.00 per minute, payable electronically prior to the next scheduled class.

  • Communication: If you are running late, please contact us as soon as possible so we can reassure your child and make appropriate arrangements.
     

 

Code of Conduct 
 

The Craft Club is committed to providing a safe, positive, and respectful environment for all parents, students, and staff. To ensure a creative and welcoming space for everyone, students and visitors are expected to treat others with kindness.

Immediate dismissal from the program, without warning or refund, may occur if a participant, parent or guardian engages in:

  • Displays of aggressive, rude, or disruptive behavior.

  • Use of abusive, aggressive, or inappropriate language.

  • Displays of offensive, racist, sexist, or discriminatory language or actions.

  • Any form of harassment, bullying, or verbal abuse.

  • Any physical abuse or unsafe physical contact of any kind

Photography and Media Consent

By participating in The Craft Club programs, you consent to the use of photographs or videos taken during session for promotional purposes, including but not limited to social media, website content, and marketing materials. If you do not consent, please notify us in writing prior to your child's participation. 


Photography Policy
 

Patrons wishing to use cameras, video cameras or other photographic devices to take pictures during The Craft Club programs must have permission from staff before filming.
 

Staff Safety Standards Policy


All Craft Club instructors undergo a clear police background check and hold current First Aid and CPR-C certification before working with your child.​​​
